It's best to configure the time entry activities before you begin configuring the Timesheet module.

A. Modify/add time entry-related activities


1. Click the "Management" menu and then the "Activities" option.

     * By  default, the account has 3 activities: On route / In progress / Standby.



Note: If you want time to be calculated when the task is  progressed, the Logic ID must be linked to the Workflow ID (for example: ID 300  and 400). It is also possible, however, to add activities not related to the  workflow. Time entries for these activities must be done manually (for example:  ID 500). 

 




2. To modify an activity, double-click it and the "Activity" window will open.




  • Color: you will find it in the calendar's "Timesheet" section.



  • Name: this is your activity's label in three languages. 

    •  For example: if you only have  English-language users, you can only fill out the "Value"  field in the "English" section.
    •  The name of the activity will  be displayed in the user's language.


  • Billable and Product: when you check the "Billable" box, you must select a product. The product will be billed  according to the time entry related to the activity (see Billing time entries - Web  Interface ). 
    • For example: if a user records a  5-hour time entry (duration), this will work out to 5 times the product (by  quantity) in the invoice, provided the time entry is billed.
    • For example: if a user records a  1:15-hour time entry (duration), this will work out to 1.25 times the product  (by quantity) in the invoice, provided the time entry is billed.


  • Disabled: when the box is checked, it is no longer possible to use the activity in time entries.


3. To add an activity, click "Add" to open the "Activity" window.




  • Identifier: this field is optional. It allows you to give your activity  a programming handle that can be used for plug-ins.

  • Logic ID:  see note in Step 1.

  • Color, Name, Billable, Product  and Disabled: see Step 2.



B. Configuing the Timesheet module.



1. Click the "Configuration" menu and then the "Timesheet" option.




2. Validate or modify the information.


Options

Description

Do not automatically bill time entries once the task is completed.

Note: this option is not functional in the web interface.


Checked box: when a task is progressed to 600 (completed), the time entries associated with a billable activity will not be billed.

Unchecked box: when a task is progressed to 600 (completed), the time entries associated with a billable activity will automatically be billed in the items list.
Automatically add the human resource to the assistants when adding a time entry to a task

When adding a time entry to a task and selecting an additional human resource, the latter is automatically added as an assistant in the task.

First day of the week

To display the general "Timesheet" tab.

Round the punch time each




This field determines round-off to be to 1, 5, 10, 15, 30 or 60 minutes.

This option affects only time entered automatically as a task is progressed (not the time entered manually in a time entry)

Round type





There are 3 types of round off : 
  • Default round off
    • 1.2 = 1
    • 1.5 = 2
    • 1.7 = 2
  • Rounded upwards 
    • 1.2 = 2
    • 1.5 = 2
    • 1.7 = 2
  • Rounded downwards
    • 1.2 = 1
    • 1.5 = 1
    • 1.7 = 1


Enable grouping





When checked, time entries are grouped by product.

So, even if two different activities have the same product, during billing they will be grouped under the same item.

Otherwise, every time entry will be billed individually.

Group by Human Resources





This option is available only if grouping is activated.

When checked, a grouping level by human resource is added.

This will give an item per product and per human resource.

Group by activity





This option is available only if grouping is activated.

When checked, a grouping level by activity is added.

This will give an item per product and per activity.

Group by date



This option is available only if grouping is activated.

When checked, a grouping level is added.

C. Modifying the calendar's display mode


You can display the employees' time entries for "1 Day", "1 Week" or "1 Month".

Use the date field or the small calendar to change the display date.
